SGA is seeking an Office Manager to help strategically grow our team and uphold our core values of Stewardship, Integrity, Rigor, Collaboration, and Innovation. This role supports firm leadership and design studio staff in the daily operations of the office and project delivery. Ideal candidates will have experience managing the day-to-day activities of a small firm, preferably within the design or construction industry.

Role Overview:

The Office Manager oversees a broad range of responsibilities, including general office administration, marketing support, and team coordination. Candidates must demonstrate strong written, verbal, graphic, and interpersonal communication skills, along with excellent organizational and information management abilities. Proficiency with software and technology—such as Microsoft Office 365, Adobe Creative Suite, social media platforms, WordPress, QuickBooks Online, CRM systems, and project management tools like Monday.com—is essential.

Successful candidates are tech-savvy, proactive, detail-oriented, and thrive in a structured, well-organized environment.

Job Responsibilities:

General Office:

  • Receive incoming phone calls and in-person clients and visitors.
  • Receive and distribute incoming mail and deliveries; manage outgoing mail and deliveries.
  • Assist firm partners and team members with scheduling and miscellaneous project-related tasks.
  • Manage the office curation, organization, and material library to maintain a professional and creative studio environment.
  • Maintain office supplies, beverages, and snacks.
  • Coordinate firm events (team lunches, celebrations, continuing education events, etc.)
  • Coordinate with outside vendors such as copier, internet, and custodial service.
  • Proactively develop, maintain, and expand upon relationships with clients, subcontractors, and other external stakeholders.

Administration:

  • Maintain office systems including digital and paper filing, standardized forms, HR documentation, and the Employee Manual.
  • Support administrative operations such as onboarding new staff, maintaining professional licenses and company registrations, making bank deposits, and assisting with monthly client invoicing.
  • Collaborate with firm partners on project proposals, contracts, and post-award mobilization requirements.
  • Assist with timekeeping, project tracking, and reporting using BQE CORE in coordination with project managers and leadership.

Marketing Support:

  •  Assist in the development and delivery of marketing submittals and proposals.
  • Coordinate website and social media updates.
  • Assist firm partners with lectures, conferences, outreach, and travel.
  • Assist with marketing content and business development related efforts.
  • Assist with and update CRM database.
  • Provide general marketing support as needed.

Preferred Skills and Responsibilities:

  •  Capable of managing complex, multi-layered schedules while providing high-level support to Principals.
  • Self-motivated and capable of working independently with minimal supervision, demonstrating strong time management and self-editing skills in fast-paced, multi-tasking environments.
  • Collaborative team player with exceptional verbal and written communication skills.
  • Contributes to a positive office culture through event planning and team engagement initiatives.
  • Exhibits proactive communication, a strong work ethic, and a solutions-oriented mindset.
  • Experience in the Architecture, Engineering, and Construction (AEC) industry, particularly in contractual, administrative, or accounting roles, is preferred.
  • Quick to learn and adapt to various technologies related to communication, scheduling, marketing, project management, and financial systems.
  • Possesses strong analytical, organizational, and database management skills.
  • Consistently meets deadlines and manages workload effectively.
  • Communicates openly, clearly, and honestly.
  • Brings a proactive, positive, and initiative-driven attitude to every task.

Requirements:

  • Bachelor’s and/or Associate’s degree (preferred) in business administration, communication and/or marketing. It is desirable, but not necessary, for candidates to also hold a degree(s) in graphic design, visual communications, history, fine arts, accounting, or related fields.
  • High proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
  • Strong familiarity with project management and scheduling tools, social media platforms, and CRM systems.
  • Working knowledge of Adobe InDesign and standard bookkeeping and accounting practices.
  • High school diploma or General Educational Development (GED) is required

Compensation + Benefits:

The base salary for the Office Manager role is $55,000 to $65,0000 and will be adjusted based on qualifications, expertise, and experience.
