Role Overview:

The Project Administrator supports SGA’s leadership and project managers to succeed in their project delivery engagements. The Project Administrator participates in administrative, finance, and budget/contract related project tasks. Key aspects of this position include tracking status of projects, assisting with internal and external communications related to projects, and assistance with business development in the form of administrating additional services or contracts for ongoing work. Excellent verbal and written skills are a must along with an emphasis on detail-oriented execution and critical problem-solving approaches. The Project Administrator will perform the day-to-day function of the SGA’s front-end Project Management/Accounting (PMA) system (BQE CORE). The ideal candidate will have comprehensive project management/accounting experience for a professional services-based business operation and/or extensive experience within the Architecture/Engineering/Construction industry.

   ●      Philadelphia Metro, PA (Jenkintown, PA)

   ●      Hybrid, Mid-Atlantic Region. Must be able to commute to SGA offices at times for certain job responsibilities.

Job Responsibilities:

Project Budget/ Contract Responsibilities:

   ●       Sets up projects in BQE’s CORE software (project and time keeping software), based on work plans developed in project proposals and design / construction schedules.

   ●       Perform and run all aspects of the revenue cycle process, including invoicing, billing, collections, and financial reporting.

   ●       Follow and implement policies and procedures to ensure accurate and efficient revenue cycle management.

   ●       Support the development of fee proposals.

   ●       Track project status in relation to budget and schedule.

   ●       Monitor execution and fulfillment of project contracts.

   ●       Analyze project management Key Performance Indicators (KPI’s), reports, dashboards, and revenue cycle data to identify trends and make recommendations for process improvements.

Project Administration:

  ●    Set up and maintain a project-specific filing system that works with or improves the company’s current file and folder structure.

  ●       Ensure compliance with all relevant laws, regulations, and industry standards related to project administration reporting and revenue cycle management.

  ●       Assist with other project related administrative tasks as needed.

Preferred Skills and Responsibilities:

  ●       Experience with contracts and invoicing.

  ●       Experience in the AEC industry doing contractual and administrative and/or accounting work.

  ●       Able to quickly learn and use multiple technologies related to project management and financial management.

  ●       Self-motivated and able to work independently.

  ●       Able to support the success of project managers in a positive, empowering manner.

  ●       Capable of managing multiple, complex schedules.

  ●       Familiarity with time entry software.

  ●       Demonstrated experience managing professional service-based project accounting and billing/collections software. QuickBooks experience a plus.

  ●       Strong attention to detail.

  ●       Strong database, systems, analytical and organizational skills.

Requirements:

 ●       Bachelor’s degree (minimum) in business or accounting, and/or active CAPM, PMP, CPA, or CMA Certification. It is desirable, but not necessary, for candidates to also hold a degree(s) in business administration, communications, mathematics, or related fields.

  ●       Membership in the Society for Design Administrators (SDA) preferred.

  ●       High proficiency with Microsoft Excel, Microsoft Word, and Microsoft Outlook.

  ●       Familiarity with Microsoft Teams.

  ●       Effective time management skills and the ability to meet deadlines.

  ●       Exceptionally strong written and verbal communication skills.

  ●       Open, clear and honest communicator.

  ●       Proactive, initiating, and positive attitude.

  ●       Positive, can-do attitude.

Compensation + Benefits:

The base salary for the project administrator role is $80,000 and will be adjusted based on experience and office location. Our standard work schedule is Monday through Friday, from 9am to 6pm, with one (1) hour for lunch. We understand that life has many demands and are open to discussing schedule flexibility, including hybrid work as needed.
